Race Rules and Guidelines

PARTICIPATION

  1. Participants must be 13 years or older for the 12 km run and 7 years or older for the 5 km run and fun walk as on 1 January this year in order to participate. A participant needs the consent, and must be accompanied by a legal guardian if the participant is under the age of 18 years.

  2. All participants take part at their own risk and agree to the disclaimer hereunder by registering for the event.

  3. Registrants must be capable of completing the full distance, start line to finish line, within event time requirement of 2 hours for the 12 km trail run and 1 hour, 55 minutes for the 5 km fun run.

  4. By taking part, all participants confirm that they are happy for their names and any footage or photographs taken during their participation in the run to be used to publicise this event.

  5. Participant licence numbers are specific personal identifiers and may not be exchanged with or transferred/ sold to any other person. Sale and/or transfer of race entry/bibs are strictly prohibited and will result in the disqualification from the event.

  6. All entry fees are non-refundable, and may not be deferred toward a future event.

  7. No cash prizes will be awarded. Positions in each age category will be recorded, provided to Boland Athletics and published on the Stellenbosch Vista website.

  8. The race committee reserves the right to accept or reject any entry.

EVENT DAY

  1. Participants must follow instructions as given from all event officials including race staff and volunteers, medical personnel, throughout the duration of the event.

  2. All participants are expected to conduct themselves in a professional and courteous manner during their participation in the event. (Anyone violating this rule of conduct shall be disqualified from the event and will be asked to leave the course).

  3. Participants registered with a club must wear the official club colours and display their valid licence numbers on the front and back of the participant's shirt. Participants not registered with a club must display their temporary licence number on the front of their shirts. No participant shall be permitted to participate in the event without the licence number.

  4. All participants must write their name and details of any health problems or medication on the reverse of the licence number, which must be worn on the front of shirts during the race.

  5. If a participant enters into an age category the participant must wear the corresponding numerical age category tags on the front and back of his or her shirt. Available age categories as on 1 January this year is as follows:

    Junior: Under 19

    Open: 19 or above

    Veteran: 40 or above

    Masters: 50 or above

  6. Baby joggers, pets, baby strollers, skateboards, roller-blades, bicycles or any other wheeled device will not be permitted on the course, except for vehicles of authorised race officials.

  7. Participants must begin the event during the official recognized starting time.

  8. Each participant will be issued an entry card on the race day and must be carried throughout the race and will be collected at the end. Failure to produce the entry card could result in disqualification from the event.

  9. Participants must produce proof of age upon request on the the event day to be produced (driver's licence, ID document or passport).

  10. Refreshment stations will be placed around the half way marks and will be stocked with water. To protect the fauna and flora please throw the sachets and cups in the demarcated areas only. If you are outside a demarcated area please keep the sachet with you till the next refreshment station. No littering or damage to the environment will be tolerated.

COURSE MONITORING

  1. Any participant who has been found by a course marshal or event official to have gained an unfair advantage by intentionally shortening the route of the race ("cutting the course") shall be immediately disqualified from the event.
  2. No persons are authorized to be on the course unless they are registered participants or race officials. Therefore, no person shall be allowed to accompany a participant if he/she is not registered in the event, nor shall any participant be allowed, without the permission of the event management, to receive assistance or refreshment from anyone during the progress of the event.

PARTICIPANT SAFETY

  1. The use of wheeled devices by participants or any other person authorized to be on the course shall be strictly limited to authorized race officials. Due to the nature of the event, no wheelchair and blind entries can be permitted.
  2. Medical personnel authorized by the event to do so may examine any participant who appears in distress. If in the sole opinion of authorized medical personnel it is in the best interest of the participant's health and welfare, medical personnel may remove the participant from the event.
  3. Participants must retire at once from race if ordered to do so by a member of the event's official staff, official medical staff, or any governmental authority, including fire and police officers.
  4. Participants are responsible and assume liability for any and all medical expenses incurred as a result of training for and/or participation in the event, including but not limited to ambulance transport, hospital stays, physician and pharmaceutical goods and services.
  5. Event officials reserve the right to delay, cancel, or suspend the race due to inclement weather. No refund will be issued in these circumstances.

RESULT TIMING

  1. Participants must begin the event during the official recognized starting time in order to register an official course completion time.
  2. Any ruling by the race organisers is considered final.

AMENDMENTS / RESERVATIONS / ACKNOWLEDGEMENTS

  1. Event officials reserve the right, to modify, supplement or waive all or part of the event rules.
  2. Participants shall be bound by any modification or supplement of the event rules published prior to the event.
  3. Failure to follow these event rules, as may be amended, will result in immediate disqualification and removal from official results.
  4. The event follows, and participants are subject to, the rules specified by Athletics South Africa (“ASA”) and Boland Athletics. Please visit these organisations for additional information concerning the rules mandated by the governing bodies for the sport.
